3. Dispatch Schedules & Cutoff Timelines
To eliminate weekend transit stagnation in non-climate-controlled courier hubs, we operate strict fulfillment schedules:
- Same-Day Dispatch Cutoff: Orders placed Monday through Thursday before 2:00 PM EST are packed fresh from climate-controlled cold storage and dispatched the same day.
- Thursday Afternoon & Friday Orders: To prevent parcels from resting in transit depots over the weekend, temperature-sensitive orders placed after Thursday 2:00 PM EST are prioritized for dispatch first thing Monday morning.
- Domestic Delivery Times: Standard priority cold-chain transit arrives within 2 to 3 business days across the contiguous United States. Expedited Overnight delivery is selectable at checkout.
4. Receipt & Laboratory Intake Protocol
Upon physical delivery of your shipment, laboratory staff should adhere to the following intake protocol:
- Inspect Exterior Container: Verify that the tamper-evident security seal on the thermal mailer is intact.
- Verify Cold Buffer: Open the thermal box. It is normal for refrigerant gel packs to feel cool or thawed upon arrival; as long as the vials were shielded inside the insulated cavity, molecular integrity remains uncompromised.
- Immediate Transfer to Cold Storage: Immediately transfer unopened lyophilised vials to dark, temperature-controlled laboratory refrigeration at 2–8 °C (or -20 °C for long-term storage).
- Match Serial Numbers to COA: Compare the lot number laser-etched on the vial label with the enclosed Certificate of Analysis to ensure complete traceability.
5. Transit Damage & Temperature Excursion Guarantee
In the rare event that a shipment experiences courier delays exceeding 5 business days, broken vial seals, or physical package compromise during transit:
- Notify our logistics desk within 48 hours of carrier delivery timestamp at shipping@clubpep.com.
- Include your order number, tracking ID, and high-resolution photographs of the damaged parcel and vial lot numbers.
- Upon rapid verification, Club Pep will immediately dispatch an expedited replacement shipment via Priority Overnight courier at zero additional cost to your institution.
